How it works

A simple loop that keeps your shelves full

Most shop owners reorder from memory and a notebook. ShelfWise turns that into five quick steps you can do from your phone.

  1. 1. Track your stock

Add your products — one by one on your phone, or all at once from a spreadsheet — with what's on the shelf today. Give each a reorder level: the point where you'd want to buy more. From then on, every sale, delivery, damaged item and stock count is recorded, so the numbers stay right.

  2. 2. Discover what needs replenishing

When an item reaches its reorder level, it appears in the Reorder Centre and you get one alert — not a new one every hour. Once ShelfWise has a few weeks of your sales, it also warns you about items that are likely to run out before a delivery could arrive. Without enough history, it sticks to the levels you set rather than guessing.

  3. 3. Generate a suggested purchase order

For each item you see how much to order, why, and the estimated cost. Quantities top up to your target level, account for stock already on order, and round up to the supplier's minimum order and pack size. Change any number, then create a draft order — one per supplier.

  4. 4. Send the order to your supplier on WhatsApp

ShelfWise writes a clear order message from your real products, quantities and prices. Edit it if you like, then open WhatsApp with it ready to send. ShelfWise can't see whether the supplier read it, so you mark the order as sent yourself.

  5. 5. Record the delivery and update stock

When the goods arrive, enter what actually came. Short deliveries stay open for the rest, or you can close them. Stock updates instantly, every receipt is kept, and supplier payment is tracked separately — received doesn't mean paid.

Every day at the counter, and at the end of the month

Sell with the point of sale

Open the till with your cash float, scan or tap items, take cash, mobile money or credit, and hand over the right change. Every sale updates stock at that branch straight away. At closing, count the drawer and ShelfWise shows whether it balances.

Run more than one shop

On Standard and Pro, each branch keeps its own stock and reorder suggestions. Send stock from the main shop to a branch in one step, and limit staff to the branch they work at.

Know whether you made money

Record rent, wages and other expenses. ShelfWise puts them together with your sales and the cost of what you sold into a profit and loss statement, tracks who owes you and who you owe, and exports a journal for your accountant.

How ShelfWise decides what to reorder

Your levels first

Reorder when stock is at or below your reorder level. Order up to your target stock level. If you haven't set a target, ShelfWise suggests enough to reach twice the reorder level.

Sales history when it's reliable

After at least two weeks and several days of sales, ShelfWise estimates daily demand and covers your supplier's lead time plus a week. These suggestions are labelled as estimates.

Supplier rules always

Suggestions never go below zero, count what's already on order, and round up to minimum order quantities and pack sizes. You can change anything before ordering.
